Preamble
Welcome to CiteReady, a content and file management platform consisting of web sites, online services, software applications and networks that allows for the authorized storage, distribution and sharing of digital content over the internet. CiteReady’s online service enables users to easily and effectively communicate and collaborate with each other. CiteReady is optimized for researchers to search, collect, store, organize and share bibliographic data and peer review publications with other researchers.
Acceptance
The CiteReady service and network (collectively, “CiteReady” or “the Service”) are operated by iGroup (Asia Pacific) Ltd. and its corporate affiliates (collectively, “us”, “we” or “the Company”).By using CiteReady, you expressly consent to the information handling practices described in this notice.This Privacy Policy is incorporated into and is subject to the CiteReady Terms of Use. Your use of CiteReady and any personal information you provide through CiteReady are subject at all times to this Privacy Policy and the Terms of Use.
The Information CiteReady Collects
User-provided Information: You may provide to CiteReady what is generally called “personally identifiable” information (such as your name, email address, postal mailing address) if you log in CiteReady, or otherwise use the Service.
“Cookies” Information: CiteReady uses cookies and web log files to track site usage. The cookie and log file data is used to customize your experience on the website. When you access CiteReady, we may send one or more cookies – small text files containing a string of alphanumeric characters – to your computer. CiteReady may use both session cookies and persistent cookies. A session cookie disappears after you close your browser. A persistent cookie remains after you close your browser and may be used by your browser on subsequent visits to CiteReady. Persistent cookies can be removed. Please review your web browser “Help” file to learn the proper way to modify your cookie settings.
“Automatically Collected” Information: When you access CiteReady or open one of our HTML emails, we may automatically record certain information from your system by using different types of tracking technology. This “automatically collected” information may include Internet Protocol address (“IP Address”), a unique device or user ID, version of software installed, system type, the content and pages that you access on CiteReady, and the dates and times that you visit CiteReady. When you access CiteReady we automatically receive the URL of the site from which you came and the site to which you are going when you leave CiteReady. We also receive the Internet protocol (IP) address of your computer (or the proxy server you use to access the World Wide Web), your computer operating system and type of web browser you are using, as well as the name of your ISP. This information is used to analyze overall trends to help us improve CiteReady. The linkage between your IP address and your personally identifiable information is never shared with third-parties without your permission or except when required by law.
Information about Your Contacts: To invite others to connect with you directly in CiteReady, you will enter their names and email addresses. This information will be used by CiteReady to send your invitation and they include a message that you write. The names and email addresses of people that you invite will be used only to send your invitation and reminders. All information that you enter or upload about your colleagues will be covered by the same terms of this Privacy Policy.Web Beacons: We allow other companies, called ad networks, to serve advertisements to CiteReady users (“Users”). Ad networks include third party ad servers, ad agencies, ad technology vendors and research firms. To deliver these ads properly, CiteReady may include a file, called a web beacon, from these ad networks within pages served by CiteReady so the networks may provide anonymized, aggregated auditing, research and reporting for advertisers as well as to target ads to you while you visit other websites. Because your web browser must request these advertisements and web beacons from the ad network’s servers, these companies can view, edit or set their own cookies, just as if you had requested a web page from their site.These general targets may also be used by ad networks to display targeted ads on other websites as a substitute for random, irrelevant ads. You will never see additional ads as a result of being a CiteReady user and CiteReady never provides personally identifiable information to any advertiser or any third party.
The Way CiteReady Uses Information
We will use the information that you provide or that we collect to operate, maintain, enhance, and provide all of the features and services found on CiteReady as well as to track user-generated content and Users to the extent necessary to comply as a service provider with the Digital Millennium Copyright Act.
We will use your email address, without further consent, for administrative communications such as notifying you of major CiteReady updates, for customer service purposes, to address copyright infringement or defamation issues, or to contact you regarding any content that you have posted to or downloaded from CiteReady.
We may use all of the information that we collect to understand the usage trends and preferences of our Users, to improve the way CiteReady works and looks, and to create new features and functionality.
We may use “Automatically Collected” information and “Cookies” information to:
- automatically update the CiteReady application on your system;
- remember your information so that you will not have to re-enter it during your visit or the next time you access CiteReady;
- provide anonymous aggregate metadata and statistics; some of which will be made available to the entire CiteReady community and to interested third parties (such as publishers) on an anonymous and aggregated basis.
- provide such aggregate metadata and statistics to Users as they pertain to such User’s uploaded content; and
- track your entries, submissions, and status in any promotions or other activities.
When CiteReady Discloses Information
We will not share your personally identifiable information with other organizations for their marketing or promotional uses without your prior express consent. Please be aware, however, that any personally identifiable information that you voluntarily choose to display on the CiteReady Platform – such as when you publish attribution credits for documents or profile information – becomes publicly available and may be collected and used by others without restriction. We may also display bibliographic data with respect to your publications uploaded to a data storage area identified as “My Publications” as defined in the Terms of Use.
We may disclose User information to affiliated companies or other businesses or persons to: provide web site hosting, maintenance, and security services; fulfill orders; conduct data analysis and create reports; offer certain functionality; and assist us in improving CiteReady and creating new service features. We require that these parties process such information in compliance with this Privacy Policy, we authorize only a limited use of such information, and we require these parties to use reasonable confidentiality measures.
We may disclose User information if required to do so by law or in the good-faith belief that such action is necessary to comply with state and federal laws (such as U.S. and Singapore Copyright law) or respond to a court order, judicial or other government subpoena, or warrant in the manner required by the requesting entity.
We also reserve the right to disclose User information that we believe, in good faith, is appropriate or necessary: to take precautions against liability; to protect CiteReady from fraudulent, abusive, or unlawful uses; to investigate and defend ourselves against third-party claims or allegations; to assist government enforcement agencies; to protect the security or integrity of CiteReady; or to protect the rights, property, or personal safety of CiteReady, our Users, or others.
Emails you initiate through CiteReady, an invitation sent to a non-user for instance, may list your email address and name in the header of the message. Communications between Users on CiteReady are otherwise internally conducted, without the use of external Internet addresses. While Users are permitted to privately disclose their private email addresses to other Users, we urge that care be taken by Users and we assume no liability for any consequences of such actions.
Your Choices
You may, of course, decline to share your personally-identifiable information with CiteReady, in which case CiteReady will not be able to provide to you some of the features and functionality found on the CiteReady Service. You may update, correct, or delete your user information and preferences at any time on your User Profile in your CiteReady Account.
To protect your privacy and security, we take reasonable steps to verify your identity before granting you account access or making corrections to your information. YOU ARE RESPONSIBLE FOR MAINTAINING THE SECRECY OF YOUR UNIQUE PASSWORD AND ACCOUNT INFORMATION AT ALL TIMES.
Our Commitment to Data Security
We use commercially reasonable physical, managerial, and technical safeguards to preserve the integrity and security of your personal information. We cannot, however, ensure or warrant the security of any information you transmit to CiteReady, and you do so at your own risk. Once we receive your transmission of information, we make commercially reasonable efforts to ensure the security of our systems. However, please note that this is not a guarantee that such information may not be accessed, disclosed, altered, or destroyed by breach of any of our physical, technical, or managerial safeguards.
If we learn of a security systems breach, then we may attempt to notify you electronically so that you can take appropriate protective steps. CiteReady may post a notice on the CiteReady Service if a security breach occurs. Depending on where you live, you may have a legal right to receive notice of a security breach in writing.
Our Commitment to Children’s Privacy
IF YOU ARE UNDER 13 YEARS OF AGE, THEN PLEASE DO NOT USE OR ACCESS CiteReady AT ANY TIME OR IN ANY MANNER.
Protecting the privacy of young children is especially important. For that reason, CiteReady does not knowingly collect or maintain personally identifiable information from persons under 13 years-of-age. If we learn that personally-identifiable information of persons less than 13-years-of-age has been collected on or through the CiteReady platform, then we will take the appropriate steps to delete this information.
If you are the parent or legal guardian of a child under 13 who has become a CiteReady member, then please contact CiteReady to have that child’s account terminated and information deleted.
International Visitors
Please note that any data you enter into CiteReady will be exported from the country which you reside for use by us for any of the purposes described herein. In addition, because CiteReady operates globally, we may make information we gather available to worldwide business units and affiliates. By providing any data on the CiteReady platform, you hereby expressly consent to such transfers of your data to Singapore or other countries.
In the Event of Merger or Sale
In the event that CiteReady is acquired by or iGroup (Asia Pacific) Ltd is acquired by or merged with a third-party entity, we reserve the right, in any of these circumstances, to transfer or assign the information that we have collected from Users as part of that merger, acquisition, sale, or other change of control.
Changes and Updates to this Privacy Policy
This Privacy Policy may be revised periodically without further notice to you and this will be reflected by a “last modified” date above. Please revisit this page to stay aware of any changes. In general, we only use your personal information in the manner described in the Privacy Policy in effect when we received that personal information. Your continued use of CiteReady constitutes your agreement to this Privacy Policy and any future revisions.
